Human Resources Lead
Reporting to the Human Resources Manager, the selected candidate will have the responsibility to lead the day-to-day operation of the Human Resources Department.
DUTIES AND RESPONSIBILITIES
HR Operations & Policies and Procedures:
- Managing the HR Operations of the cluster by effectively organizing, coordinating, and monitoring service delivery by HRBPs and HR Officers
- Direct and monitor the implementation of all HR policies & procedures
Human Resources Budget:
- Ensure that the clinic staffing levels are as per set budget
- Assist in budget preparation and monitoring
Recruitment and Selection:
- Ensure that the Job Advert for vacant positions and liaise with Head Office for communication
- Ensure that the recruitment tracker of all vacant positions within the organization is up to date
- Ensure that staff movement communication is sent on a weekly basis
- Follow up and ensure all documents related to recruitment are provided on time
- Communicate and follow up with the heads of department about the evolution of their respective recruitment
- Providing primary support to the Payroll Officer with regards to the Time & Attendance and Payroll systems, and preparation of payroll reports (Vipertex & Sicorax)
New Joiners - Onboarding plan Journey:
- Welcome new recruits on 1st day of employment
- Presentation and clinic round as and when required
- Ensure that the new recruits are set in their respective department
- Prepare and monitor the onboarding plan journey for new joiners and track miscellaneously until their probation reviews.
- Liase with Learning and Development team to enroll all new joiners for the Corporate Induction
Learning and Development (L&D): Learning and Development / HRDC / Training Budget
- Assist in the preparation of yearly training plan for the Clinic and ensure the full implementation of training plan.
- Ensure that all HR & Training reports are accurate, up-to-date and submitted within deadline
- Liaise with the L&D department to follow up training and development planning for colleagues
- Act as facilitator and assist the L&D department to ensure the smooth running of training sessions provided to colleagues
- Coordinating all aspects of L&D across the Company, including the administration of trainees and of the online system, validation of invoices, compliance with mandatory training, and preparation and distribution of regular reports
- Prepare and follow up all administrative procedures with HRDC application for all registered courses
- Monitor & track MQA approved courses for HRDC refund and follow up with Finance department for refund received
- Keep track and control of the training budget
- All quality aspects directly driven by HR, including but not limited to the monthly monitoring of training, audit, and reporting
Expatriate Management:
- Ensure that the Work permits /Visas and renewal of expatriates (For both new joiners & renewals of existing employees) are done miscellaneously
Human Resources Support:
- Attend departmental briefings to maximize HR interaction with the colleagues
- Be a role model & be accessible to all colleagues by providing a consistent level of HR service
- Ensure that colleagues receive accurate, confidential and timely assistance or advice in response to particular grievances or queries related to HR, work or personal issues
HR Projects & Initiatives (Employee Engagement & Employee Committee)
- Participate and ensure the proper of implementation of HR projects
- Keep track of C Care Engagement Plan and ensure maximum participation of the workforce in all engagement initiatives
- Organize and coordinate Employee Committee and follow up on issues reported in these forums
HR Strategies, system & tactics:
- Analyze different HR metrics and provide input to Management for continuous improvement in HR Operations
- Support in the implementation of the Performance Management System
Industrial Relations & General Law
- Handle all industrial relations cases, referring to the HR & Talent Development Manager for advice and guidance
- Keep up-to-date with changes in relevant laws and legislation and adapt it to company policy and procedure as needed
Medical Insurance:
- Liaising with insurance brokers and companies to effectively manage the employee subscriptions, expertly advise employees, review, and validate monthly statement of accounts for payment, and provide corresponding reports as required
Any other cognate duties not mentioned above but which are in relation to the various daily activities.
Qualifications:
Degree in Human Resources Management or any related field
Experience:
Min 5 years’ experience in HR operations
